Making sure personal data is secure and properly dealt with is of paramount importance in our dealings with you. It is therefore important you understand what information I will take, why I need it, and how I will process your details.
Who processes your information
RG Financial Services Limited, trading as RG Financial Services, is an appointed representative of HL Partnership Limited which is authorised and regulated by the Financial Conduct Authority. As such, both RG Financial Services Limited and HL Partnership Limited will process your data in order to provide our services.
Information I may ask you to provide
In order to fully understand your financial needs and be able to give good advice, I need to obtain information about you, your family, your personal circumstances, and your preferences. Some of the information will be private and may be sensitive, such as details of your income and expenditure, health, debts and credit commitments, legal proceedings and adverse credit. Much of the information you provide will need to be passed on to the companies whose products you apply for.
Why complete information matters
In order for us to be able to give you suitable advice, I need you to provide all the information I ask for as openly and honestly as possible. If you prefer not to disclose some information, please tell us that you prefer not to disclose it and I will assess whether this will alter or impede the work I am doing for you.
How your information is used
- Providing the service: to assess your circumstances and provide advice; introduce you to lenders, insurers and other product providers; administer your case and applications; tell you about relevant changes; and, unless you ask me not to, keep you informed about products or services that may be suitable.
- Legal and regulatory duties: to provide information to the Financial Conduct Authority and other regulators where required, and to prevent or investigate financial crime, including sharing relevant information with the police or National Crime Agency.
- Legitimate business interests: to analyse and improve the business and service, review the quality of advice, provide information to HL Partnership Limited where required, and exercise or defend legal claims.
- Supervision: HL Partnership Limited uses your information to monitor and supervise the work carried out by RG Financial Services Limited.
The lawful basis depends on the activity and may include taking steps at your request before entering a contract, performing a contract, complying with legal obligations and legitimate interests in operating and supervising the service. Where special-category information such as health data is required, you will be told how it will be used and the condition relied on before it is collected.
Who information may be shared with
Depending on the service, information may be shared with HL Partnership Limited, lenders, insurers, product providers, identity and fraud-prevention services, valuers, conveyancers or other professional advisers where instructed, regulators, law-enforcement bodies and technology suppliers operating under appropriate contractual safeguards.
International processing
If a supplier processes information outside the United Kingdom, appropriate safeguards must be used as required by UK data-protection law. You can ask for further information about the safeguards relevant to your data.
How long information is kept
I will only keep your personal information as long as necessary. How long that is depends on the type of data and the nature of the work I have carried out. In most cases, your personal data will be stored for an indefinite period as I need to keep evidence that I have fulfilled our legal and regulatory requirements.
Your right of access
You can ask for a copy of the personal information held about you. Subject to verifying your identity, the information will normally be provided within one calendar month of receiving your request.
Your right to correction
You can ask for incomplete or inaccurate personal information to be corrected or completed. Please note that regulatory records may need to retain information as it was at the time advice was given or a transaction took place, while recording any later correction.
Your right to erasure and other rights
You can ask for personal information to be erased where there is no continuing lawful reason to retain it. However, following advice or a transaction it will not normally be possible to erase the associated records because they must be retained to meet legal and regulatory requirements and to establish or defend legal claims. Depending on the circumstances, you may also have rights to restrict or object to processing and to receive certain information in a portable format.
Marketing choices
You can ask RG Financial Services to stop sending marketing communications at any time. Service and regulatory communications about an existing relationship may still be sent where required.
Protecting your information from cybercrime
Please be aware of cybercrime and protecting your own information online, particularly financial information. Do not send unsecure personal information over the internet. I recommend you use encryption software or provide any information to us using the online tools I provide.
Do not respond to emails asking you to pay money. Never make a payment purely in response to an email. Always call the company to validate any payment requests and check the phone number independently from the email (i.e. via a secure website). If you receive a phone call asking for payment ensure you are satisfied the call is genuine, or else call the company back to check. Neither RG Financial Services Limited nor HL Partnership will take responsibility if you transfer money to a fraudster in error.
